How to Choose the Best Password Manager

Seven checks that matter more than a feature count
1. Start with your devices and browsers
Write down the devices you use today, including work machines and shared family devices. A manager that is excellent on macOS but absent on Android is the wrong choice for a mixed-device household. Confirm native apps, browser extensions, mobile autofill, and offline access before evaluating extras.
2. Understand what protects an exported vault
"AES-256" is not enough to choose a product. Ask what happens if an attacker steals the encrypted server database. Look for client-side encryption, a documented key derivation design, independent security review, and protection against weak account passwords.
The products make different choices: 1Password combines an account password with a device-generated Secret Key; hosted zero-knowledge managers such as Bitwarden and Proton Pass derive or protect keys without giving the provider plaintext vault contents; Apple anchors sync to iCloud Keychain and trusted devices; KeePassXC keeps the encrypted database under your control.
3. Test recovery before you need it
Strong encryption creates a real trade-off: the provider may be unable to recover your vault if you lose every key. Check emergency kits, trusted contacts, family recovery, device approval, and backup codes. Then simulate losing your primary device. A recovery plan you have never tested is only a theory.
4. Verify import and export
Your password manager should not be a one-way door. Confirm that it can import from your current browser or manager and export common records in a documented format. Pay attention to passkeys, file attachments, custom fields, one-time codes, and password history: these often do not migrate as cleanly as basic usernames and passwords.
5. Judge autofill as a security boundary
Autofill is not just convenience. A good manager matches credentials to the intended site, resists look-alike domains, requires confirmation for sensitive fields, and behaves predictably across browsers and apps. Test it on the sites you use most before moving the entire household or team.
6. Decide where one-time codes and passkeys belong
Storing a password and its TOTP code together is convenient but reduces separation between factors. Some people prefer that trade-off; higher-risk users may keep authentication codes or hardware keys separate. Also verify whether passkeys can be created, used, exported, or transferred on your actual platforms.
7. Look at the business model and maintenance record
Free is not automatically unsafe, and paid is not automatically secure. Ask how development is funded, how quickly security issues are fixed, whether audits and design documents are published, and whether the company has a clear vulnerability disclosure process.
A 30-minute evaluation you can repeat
- Create a test vault; do not move your only copy yet.
- Install it on your primary computer, phone, and second browser.
- Import ten representative items, including a TOTP login and a record with custom fields.
- Create a new login and confirm that save, update, and autofill behave correctly.
- Export the test vault and document which record types are preserved.
- Lock or remove one device and walk through the documented recovery path.
- Only then migrate the full vault, keeping the old export offline until you verify the result.
